Terms and Conditions: Waiver, Cancellation, and Withdrawal Policy Agreement

By purchasing a pass for the Vancouver Island Herb Gathering or registering for the 2026 Spring Intensive, you affirm that you have read, understood, and agree to the following terms:

General Waiver
By attending the Vancouver Island Herb Gathering or the Spring Intensive:

  • I grant permission for photography and videography that may include my image to be used for promotional purposes.
  • I understand that participation in workshops, classes, or lectures – including those discussing clinical use of herbs – does not constitute qualification or licensing to practice herbal medicine, nor to diagnose or treat medical conditions, unless I already hold such credentials.
  • I accept full responsibility for the use or application of any information learned during the event. I will not hold any instructor, speaker, or organizer liable for any outcomes, injuries, or adverse effects resulting from my actions.
  • I agree to be responsible for my own conduct throughout the event. Should I behave in a way that is unsafe, disruptive, or not in alignment with the event’s community agreements, I may be asked to leave without refund.

Cancellation & Withdrawal Policy – Vancouver Island Herb Gathering

We understand that plans can change. However, as this event incurs expenses well in advance, the following policy applies:

Withdrawals:

  • Requests received on or before May 1, 2026 at 11:59 PM PST will receive a refund minus a 20% administrative fee.
  • No refunds will be issued for withdrawal requests after May 1, 2026.

To request a withdrawal, please email us at info@herbconference.com with the subject line “Withdrawal Request.” Include the email you used to register and a copy of your receipt.

Incorrect Registration:
If a pass is purchased using an incorrect code or registration type, changes or cancellations are the responsibility of the attendee.

Event Cancellation:
If the Vancouver Island Herb Gathering is canceled for any reason, all registered attendees will receive a full refund of any fees paid, issued within 30 days of written notification.

Intensive Terms & Conditions – Spring 2026

These terms apply specifically to participants registered for the 2026 Spring Intensive: Quality Control & Best Herbal Processing and Manufacturing Practices – From Field to Farmacy, held March 16–21, 2026 at BCIT and associated field trip locations.

Schedule & Attendance
Attendance at all sessions is expected unless otherwise arranged in advance with organizers. Some sessions are hosted via Zoom. Several sessions are field trips, which may require your own transportation.

Payments & Refund Policy

  • All Intensive registrations are non-refundable.
  • Passes can be transferred, with written approval from the organizers. To request a transfer, please email us at info@herbconference.com with the subject line “Transfer Request”. Include the email you used to register and a copy of your receipt.
  • In the unlikely event that the Intensive is canceled due to circumstances beyond our control (e.g., weather, institutional closures), a refund or credit may be issued at the discretion of the organizing committee.

Supplies & Materials
Participants are responsible for bringing all required supplies, as listed in the provided materials. 

Field Trips
The program includes multiple off-campus field trips. Transportation is not included. Full details will be provided in advance. Attendance at these trips is considered part of the course.

Health & Safety
All participants must follow BCIT’s safety guidelines and all protocols at field trip sites. This includes lab safety rules, respectful conduct, and group participation expectations.
